On Tuesday 29 April 2025, RoomRaccoon brought together independent hoteliers for Check-In 2025, their annual event, which this time took place at the Inspirium in Breda.

RoomRaccoon, known for its innovative hotel management software, had an energetic day in store full of inspiring keynotes, interactive panel discussions and practical tips - all around the theme: Authentic Stays, Modern Ways.

The power of synergy: technology and hospitality

The event was kicked off by Tymen from Dyl, CEO and founder of RoomRaccoon, with an inspiring keynote. His message was clear: technology should support hospitality, not replace it. "We believe the personal experience should always come first. Above all, technology should be convenient and functional - it should work together with hospitality."

The VAT increase: why dynamic pricing is so important

One of the most pressing topics of the day was the announced VAT increase in the Netherlands from 9% to 21%. Tymen made it clear that dynamic pricing strategies are no longer a 'nice to have' but an absolute necessity for sustainable business operations.

He indicated that sales outside the hotel room - think extra services and experiences - are growing faster than room sales. "Guests don't just book a bed. They want an experience. And they are also willing to pay extra for that. That's where the real growth is. TRevPAR is rising because guests spend more than just the room."

Instead of simply increasing room rates to offset the VAT hike, Tymen recommends increasing total revenue per available room (TRevPAR) through smart upsells with high margins. "A late check-out costs next to nothing, but generates additional revenue and margin."

Focus on value, not just price

Arnaud Loos, owner of Hospitality Skills, stressed how important it is to stick to your own strategy - especially in uncertain times - instead of simply lowering your prices to go with the competition.

"Don't blindly chase your neighbour's price cuts. Know what you have to offer - and I'm not just talking about the room rate, but the whole picture of your accommodation. You are selling an experience, not just a room. It's about understanding what your value is and how to adjust your offer accordingly as the market changes. It is not about cutting prices, but about standing firmly behind your product and making smart deals that fit what you are worth," he says.

The right balance between price and the kind of guests you attract

According to Robin Sleegers, Partnerships Manager at RevControl, it is important to find a good middle ground between what you ask and who you bring in with it.

He shared: "It is important to know the minimum price at which you still attract the right guests. If you drop the price too far, you risk guests avoiding your restaurant because it seems 'too expensive', and instead having food delivered to their room. It's about finding that sweet spot."

How technology and design are taking the guest experience to the next level

Check-In 2025 focused on one topic: the guest experience. It is precisely where hospitality, technology and design come together that the opportunity arises to offer a stay that is not only efficient, but also truly impressive and memorable.

From an interior design point of view, much more happens during the guest experience than you might think at first glance. Ingrid van der Veen, owner of Ingrid van der Veen Interior Design, puts it nicely: "The beauty of design is that it works on a subconscious level. You can influence people consciously in many ways, but good design touches something deeper - often without them realising it. If guests feel comfortable in a space, you ultimately see that reflected in your figures."

The role of technology: Enhancing hospitality, not replacing it

Technology plays a supportive but important role in the guest experience. Especially in boutique hotels, where every contact moment counts, automation can relieve staff of repetitive tasks, creating more space for genuine personal attention. Technology enhances hospitality - it does not replace it.

"The aim is to give the guest a better experience as well as give the hotelier room for personal service. This is especially important in boutique hotels - that's where the difference is in the little things." says David Claessen, owner of the Great Stay App.

But personalisation is not just about adding technology. It is also about responding to different types of guests: one group is looking for connection and a chat, the other for as little interaction as possible. The panellists emphasised how important flexibility is - and how tech can actually provide convenience for the latter group, as a silent form of service.

Windy van Maele, owner of Boutique Hotel Shamon, said, "You often notice it immediately: if someone already looks annoyed when we ask for a passport (which we are legally obliged to do), they probably just want to get to their room as quickly as possible. For that type of guest, an app is ideal - they get all the info they need, without having to talk if they don't feel like it."
